What do I need to do to prepare for a Living History display?
(These are our requirements our day in school.)
Before we arrive:
- Ensure that you return the completed 'Event Booking Form' promptly to ensure it can be processed promptly. The booking will not be confirmed until both parties have signed the agreement.
- Ensure a member of staff is there to greet us an hour before our display commences to show us where to go, and where we are to be based. We shall also need to be shown where we can park our vehicles for the day, and where the nearest staff or visitor toilets are situated.
- If possible, organise convenient access from the outside for equipment to be easily loaded and unloaded. A ground floor room would be preferable, as stairs will make this process longer. If this is not possible, prior knowledge would be advantageous.
- Please ensure that no other activities are taking place in the rooms designated for us for one hour before and after our display. This will include the hall and one classroom for each workshop.
- We will supply a full time table showing change-over times for workshops and breaks. Please ensure all staff have a copy and are aware of the timings and places of the workshops.
- Ensure that students arrive promptly at the appointed time, otherwise we may need to drop a workshop from the programme.
- Ensure that at least one member of staff is present at all times in individual workshops.
- Students will need to be prepared before the presentation to ensure a degree of knowledge about the period. To facilitate this, two members of the Society wish to visit the school on the day prior to the project proper, to deliver the PowerPoint presentation which will take approximately 30 - 45 minutes. The children's individual costumes will be delivered at this time.
- If photographs are taken on the day, don't forget to get parental permission. At the same time could you ask for permission to use the photos on the 1605 Living History website? This would be greatly appreciated.
- We regret we do not allow any form of filming (including mobile phones) of our displays, although photographs are fine. Please ensure all mobiles are switched off.
- Please ensure that the full amount is paid within 28 days of the event and make the payment to 1605 Living History Society, available on completion of the day's activities. An invoice for the full amount will be sent to you at least one week in advance of our presentation.
- We do charge a cancellation fee of 20%. This is because we may have had to turn away other work for the date that you have booked. If for any reason we are unable to honour our obligations, or in the event of cancellation due to illness or unforeseen circumstances, we will re-book the event with a discount of 20%.
- We will bring our own tea coffee etc, but refreshments during the workshops would be hugely appreciated.
